How to create and send an envelope

An envelope bundles your PDF, your recipients, and the fields they fill into a single signing request.

  1. 1In the dashboard sidebar, open Envelopes, type a title into the "New envelope title" box, and click New envelope.
  2. 2On the Documents tab, click Upload PDF and choose your file (PDFs up to 25 MB). Upload more than one to build a multi-document envelope.
  3. 3Switch to the Recipients tab and click Add recipient. Give each person a name and email, a role (Signer, Approver, CC, or Viewer), and a delivery method (Email, Text (SMS), Email + Text, or In person).
  4. 4Click Open builder to place signature and form fields on the pages, then click Save & close.
  5. 5Back on the envelope, click Send now — or switch to Schedule for later to queue it. Each recipient gets a unique signing link; no signer account is needed.

Credits are deducted when you send, not when signers finish — a declined or expired envelope still consumes its credit.

How to place fields with the drag-and-drop builder

The builder places 13 field types directly on your PDF pages, each assigned to a specific recipient.

  1. 1From a draft envelope, click Open builder.
  2. 2Pick who the field belongs to under Recipient, then choose a Field type: Signature, Initial, Text, Number, Date, Checkbox, Radio, Dropdown, File upload, Name (auto), Email (auto), Payment, or Calculated.
  3. 3Click the page to place the field, then drag or resize it. Placement uses normalized per-page coordinates, so fields stay put at any zoom or print size.
  4. 4Click a placed field to open the Field inspector: toggle Required to sign, set a Placeholder hint or Default value on text and number fields, or edit the Choices list for radio and dropdown fields.
  5. 5For text fields, pick a Validation rule — email, phone, ZIP, numeric, or a Custom pattern (regex) with your own error message. Rules are enforced inline for the signer and again on the server.
  6. 6Use "Show only when…" to make a field conditional — it appears only when another field has a matching value.
  7. 7Click Save & close when you are done.

Name (auto) and Email (auto) fields pre-fill from the recipient record and are read-only for the signer — no re-typing.

How to auto-total quantity × price with a Calculated field

A Calculated field is a read-only total derived from other fields on the envelope. It updates live as the signer fills the form, and the server recomputes it before the PDF is flattened — so the number in the signed document is the one your formula produced, not one anybody typed.

  1. 1In the builder, first place the fields the total is built from — for example a Number field for Quantity and a Number field for Unit price, both assigned to the same recipient.
  2. 2Choose Calculated in the Field type list and click the page where the total should sit.
  3. 3In the Field inspector, pick the Operation (Add, Subtract, Multiply, or Divide), then choose a field for each operand under "Calculate from". Click "+ Add operand" for a three-or-more-term formula.
  4. 4Set the display format: a Prefix (for example $), the number of Decimals (0–4), and an optional Suffix (for example " hrs").
  5. 5Point a second Calculated field at the first to build subtotals into a grand total — references are resolved in dependency order, and a formula that loops back on itself is rejected when you save.
  6. 6Click Save & close, then send as usual. The signer sees the total update as they type, but cannot edit it.

Operands can be Number, Checkbox (counts as 1 or 0), Dropdown, Radio, or another Calculated field. A field hidden by a "Show only when…" condition contributes 0, so an optional line item drops out of the total automatically. Dividing by zero or pointing at a choice that is not a number leaves the total blank rather than printing an error into your contract.

How to collect a payment while your document is signed

A Payment field makes the card charge a hard gate: the envelope cannot complete until the signer pays.

  1. 1In the builder, place a Payment field on the page and assign it to the paying recipient.
  2. 2In the Field inspector, set the Amount, Currency, and a Description (for example "Security deposit — Unit 4B").
  3. 3Send the envelope. On the signing page the signer sees an inline Stripe card form alongside their signature fields.
  4. 4The document completes only after the charge succeeds. The payment is recorded on the audit trail and printed on the Audit Certificate, linked to the signature it gated.

Cards are processed by Stripe — card details never touch Hitt Sign servers. Ideal for deposits, retainers, membership fees, or transfer fees collected in the same flow as the signature.

How to set sequential, parallel, or hybrid signing order

Routing controls whether recipients sign one at a time, all at once, or in ordered stages.

  1. 1On a draft envelope, open Envelope settings and find Routing.
  2. 2Choose Sequential (one signer at a time), Parallel (everyone signs anytime), or Hybrid (ordered stages, parallel within a stage).
  3. 3For sequential or hybrid routing, arrange recipients into their signing order on the Recipients tab — later stages are only notified when the earlier stage finishes.
  4. 4Send the envelope. The envelope list shows a live progress chip (for example "2/4 signed") and a "Waiting on" indicator that names the next signer in the order.

Use the "Waiting on a signer" filter on the Envelopes page to see every envelope stuck on someone, then click Remind to nudge them.

How to route a signature to a team instead of one person

When any qualified person can sign — an on-call approver, a contracts officer, whichever manager is around — a signing group stops the envelope stalling because the one named individual is on leave.

  1. 1On a draft envelope, open the Recipients tab and scroll to Signing groups.
  2. 2Click Add signing group, give it a name people will recognise ("Contracts Officers"), and choose whether the group signs or approves.
  3. 3Add the members — name and email for each. Anyone on the list can complete the slot.
  4. 4Place the group's fields as usual: they belong to the slot, so whoever signs fills them.
  5. 5Send the envelope. Every member gets their own signing link.
  6. 6The first member to complete claims it. The others' links immediately show "already completed by a teammate", and the Recipients tab marks them "Completed by a teammate".

A group is one slot in the routing order, so sequential and hybrid routing still work: one member signing satisfies the group and opens the next stage. Exactly one person signs, and the Audit Certificate names them plus the group ("Signed by Jane Doe as a member of Contracts Officers") — stronger provenance than a plain named recipient, not weaker. Groups are signer/approver only (a CC never acts, so there is nothing to claim), and a person can only be in one group per envelope.

How to add a witness to a signing (affidavits, POAs)

A witness attests they observed a specific person sign, which some documents (such as affidavits) require. Note that wills, codicils and testamentary trusts are excluded from the ESIGN Act and the Uniform Electronic Transactions Act — adding a witness here does NOT make an electronic will valid, and Virginia has no electronic-wills statute. Check your state's requirements before relying on an electronic signature for any document that must be witnessed or notarized.

  1. 1On a draft envelope, open the Recipients tab and add the principal signer as a normal "Signer".
  2. 2Add another recipient for the witness and set their role to "Witness".
  3. 3In the "Witnesses signer" picker that appears on the witness row, choose which signer they are witnessing.
  4. 4Save recipients and send. The witness's signing link stays locked ("Waiting for the principal signer to sign") until that principal has signed.
  5. 5Once the principal signs, the witness page unlocks, shows the read-only "I witnessed [name] sign this document on [date]" attestation, and captures the witness's own signature.

The witness's attestation — naming the principal and the date — is written to the tamper-evident audit trail and printed on the Audit Certificate, so the completed document carries proof of the witnessing. A witness can only be bound to a signer (not a CC, viewer, or approver), and their signing order is automatically placed after the principal.

How to schedule an envelope to send later

Queue an envelope now and have it go out automatically at the date and time you pick.

  1. 1Prepare the draft as usual: documents, recipients, and fields.
  2. 2Instead of Send now, click Schedule for later.
  3. 3Pick the date and time under "Send at" and confirm.
  4. 4Until it goes out, the envelope stays an editable draft — use Reschedule to change the time or cancel the schedule entirely.

How to send reminders and set envelope expiration

Set a workspace default once, override per envelope, and nudge stragglers manually any time.

  1. 1Workspace default: go to Settings → Signing deadlines. Set "Auto-expire envelopes after" a number of days and a "Reminder cadence (days after send)" as comma-separated days (for example 3, 7, 14).
  2. 2Every new envelope inherits those defaults. To override one envelope, edit "Reminder cadence (days after send)" and "Expires on (optional override)" in its Envelope settings before sending.
  3. 3To nudge manually, open any sent envelope and click the Remind button — every recipient who has not signed yet gets a fresh email (and SMS, if that is their delivery method).

Signers see the deadline and a live countdown on the signing page, so the clock is never a surprise.

How to duplicate an envelope

Clone any envelope — declined, voided, expired, or completed — into a fresh draft without re-uploading or re-placing anything.

  1. 1Open the envelope you want to send again.
  2. 2Click Duplicate.
  3. 3A new draft is created with the same documents, recipients, and field placement — but brand-new signing links and a clean, independent audit trail.
  4. 4Adjust anything you like, then click Send now.

How to fix a recipient mistake without voiding

A typo’d email or the wrong person entirely does not mean starting over.

  1. 1Typo’d name or email: on the Recipients tab of a sent envelope, click Correct next to any recipient who has not signed yet, fix the details, and a fresh signing link is sent automatically.
  2. 2Wrong person entirely: the recipient can click "Reassign to someone else" on their own signing page, enter the new signer’s name, email, and a reason, and the document is handed off in one step.
  3. 3Both the correction and the reassignment are recorded in the envelope’s audit trail.

You can still Void an envelope from its page at any time if you need to withdraw it completely.

How to create a reusable template

Capture a fully-built envelope once and instantiate a ready-to-send copy in one click.

  1. 1In the sidebar, open Templates and click New template.
  2. 2Give it a Name and an optional Description. To capture an existing envelope — documents, recipients, and field placement included — paste its ID into "Source envelope ID"; leave it blank for an empty template.
  3. 3Click Create.
  4. 4To send from a template later, click Use — a draft envelope materializes instantly, ready for final review and sending.

Organize templates into Folders from the left rail — folders support nesting and per-folder visibility for multi-department teams.

How conditional and calculated fields behave when you reuse a document

Conditional fields ("show this only when that is checked") and calculated fields (a total derived from other fields) both point at ANOTHER field. When you reuse a document those fields are recreated with new identities, so Sign rewrites the references to match — you do not have to rebuild them.

  1. 1Build the rules once on a normal envelope: in the builder, use "Show only when…" for a conditional field, and pick the fields to compute from for a Calculated field.
  2. 2Save that envelope as a template (Templates → New template → paste the envelope ID into "Source envelope ID"), or just reuse the envelope directly.
  3. 3Reuse it any way you like — Use on a template, Duplicate on an envelope, a CSV bulk send, a recurring schedule, or a public signing link. In every case the copied conditional rules and formulas are re-pointed at the new copy's own fields.
  4. 4Open the new draft in the builder and spot-check one conditional field and one total before sending — the rule should still name the same source field, and the total should still list the same inputs.
  5. 5Text-field validation rules and Payment field amounts carry over the same way, including through CSV bulk send and public links.

If a field a rule depended on is not recreated — for example you removed the page it lived on — Sign drops the rule rather than leaving it pointing at nothing. A conditional field falls back to always visible, and a calculated field renders BLANK instead of a stale number. That is deliberate: a blank you notice is safer than a wrong figure burned into a signed PDF. Check the builder after a big edit and re-add anything you still want.

How to fill template roles on multi-party documents

Multi-recipient templates carry named roles — fill in the real people at send time, routing intact.

  1. 1Build a template from a multi-recipient envelope (for example an offer letter with Employee, Manager, and Witness roles).
  2. 2On the Templates page, click Use on that template.
  3. 3The "Fill the roles" dialog lists each role — enter the real Name and Email for every one.
  4. 4The draft is created with the correct per-recipient field assignments and signing order preserved. Review and send.

How to bulk send a template from a CSV

Blast a single-signer template to up to 500 recipients at once, tracked as one named batch campaign.

  1. 1On the Templates page, click Bulk send on a single-signer template.
  2. 2In the "Bulk send from CSV" dialog, upload your CSV of recipients and add an optional message included in every email.
  3. 3Send. Each row becomes its own envelope with its own signing link and audit trail, grouped under a named batch.
  4. 4Open Batches in the sidebar to watch signed/total progress per campaign, and send a one-click reminder to every open envelope in the batch.

How to personalize a bulk send with mail-merge

Pre-fill dates, amounts, and names per recipient from columns in your CSV.

  1. 1In the builder, select a text or number field and set a Mail-merge key in the Field inspector (for example start_date or salary).
  2. 2On Templates → Bulk send, the "Mail-merge columns" list shows every key the template expects. Click "Download CSV template" to get the exact header row.
  3. 3Add one column per merge key and fill in each recipient’s values.
  4. 4Upload the CSV and send — every envelope pre-fills its own values before the signer ever opens it.

How to publish a public template

Publish any single-signer template at a public /t/ link so anyone can fill it out and sign — waivers, intake forms, standard agreements.

  1. 1On the Templates page, toggle Public on a single-signer template.
  2. 2Optionally set a Custom slug and an intro shown above the form.
  3. 3Copy the "Live at" link (sign.hitthosting.com/t/your-slug) and share it anywhere.
  4. 4Each submission creates its own envelope with its own audit trail, and the signer can download their signed copy immediately after finishing.

How to auto-place fields with field tags

Author field markers directly in your PDF’s text layer and skip manual placement entirely.

  1. 1Add tags like {{signature}}, {{text:Label}}, or {{radio:A|B|C}} to your document wherever a field belongs, then export it as a PDF.
  2. 2Send the PDF to the field-tag API endpoint (POST /api/templates/from-tags) using an integration API key from Settings.
  3. 3Fields are detected from the text layer and placed automatically at each marker’s position, producing a ready-to-use template.

This is the fastest path when your documents are generated by another system — the generator embeds the tags and the API does the rest.

How to import fields from a fillable PDF

If the PDF someone sent you is already a fillable form — a government W-9, an HR onboarding packet, a vendor NDA — Sign can read its built-in fields and place them for you instead of you redrawing each one.

  1. 1Open your draft envelope and, on the Documents tab, click Upload PDF and choose the fillable file.
  2. 2Add at least one recipient on the Recipients tab if you have not already — imported fields have to be assigned to someone.
  3. 3Back on the Documents tab, look for the "N fillable fields detected — import them?" banner above your document list. It lists what was found, for example "6 text, 2 checkbox, 1 signature".
  4. 4Click Import fields. Every text box, checkbox, radio group (with its choices), dropdown and signature widget is placed at the position the PDF declares, on the correct page, and assigned to your first signer.
  5. 5Click Open builder to review. Imported fields behave exactly like ones you drew: reassign them to a different recipient, move or resize them, change Required, or delete any you do not need.
  6. 6Click Save & close, then send the envelope as usual.

Click Import fields twice and nothing is duplicated — already-placed fields are recognised and skipped. If the banner never appears, the PDF has no built-in form fields; place them with the builder or use field tags instead. Push buttons in the original form are skipped on purpose, since they are actions rather than data.

How to send a template on a repeating schedule

Monthly safety sign-offs, quarterly compliance acknowledgments, annual policy re-attestations — attach a cadence to a template once and each period sends itself.

  1. 1Open Templates in the sidebar and click "Set up recurring send" on the template you want to repeat — or go straight to Recurring and click New schedule.
  2. 2Pick the Cadence (Weekly, Monthly, Quarterly or Annually) and the anchor: a day of the week for weekly, a day of the month otherwise, plus a month for annual schedules. A day of 29–31 falls back to the last day of shorter months, so February never skips a run.
  3. 3Set "Send at (UTC hour)" — the hour is in UTC on purpose, so the run date never shifts across a daylight-saving change.
  4. 4Choose when it Ends: Never, On a date, or After N occurrences. A schedule that hits its limit stops on its own and shows as Finished.
  5. 5Add the Recipients who get every run, then click Create schedule. The Recurring page lists each schedule with its next run, last run, and occurrence progress.
  6. 6Use Pause to stop a schedule and Resume to restart it — resuming recomputes the next run from today, so a schedule paused for months does not fire every run it missed. Cancel deletes the schedule; envelopes it already sent are kept.

Every occurrence is an ordinary envelope: its own signing links, its own audit trail, its own certificate — and it spends one credit exactly like a manual send. If your balance is empty the run is skipped and the schedule says so, then picks up once you top up.

How to sign a document you received

Signing happens entirely from a unique link — no account, no download, no app.

  1. 1Open the signing link from your email or text message.
  2. 2If the sender enabled verification, pass the gate first: enter the 6-digit one-time code, the access code the sender shared with you, or accept the electronic-records consent.
  3. 3Review the document and complete each required field. Click a signature field to sign your name — draw it, or type it and pick a style from the live preview.
  4. 4Click Finish & sign to submit.
  5. 5On the confirmation screen, click "Download signed copy" and "Download audit certificate" — no waiting for an email.

Check "Save this signature on this device for next time" while signing and repeat signatures take one tap.

How to save your progress and finish signing later

Working through a long agreement? Save what you've entered and come back to the same link later — no need to redo anything.

  1. 1Fill in as many fields as you can on the signing page.
  2. 2Click "Save & finish later" in the action panel. A "Draft saved" note with the time appears to confirm it.
  3. 3Close the tab whenever you like — your entries are stored against your signing link.
  4. 4When you're ready, reopen the same link from your original email or text. Your saved values are already filled in where you left off.
  5. 5Finish the remaining fields and click Finish & sign to submit.

Saving a draft does not sign or submit anything — it never marks you as signed, produces a PDF, or appears on the audit certificate. Once you decline or finish signing, the draft is cleared.

How to ask a question about a document without declining

Signers can flag a clause or ask the sender something right on the signing page — no declining, no voiding.

  1. 1On the signing page, scroll to the "Questions & comments" section.
  2. 2Type your note — for example "Why does section 4 say net-60?" — optionally reference a page number, and post it.
  3. 3The sender is notified and replies in a thread that lives on the envelope, so the conversation stays on the record.
  4. 4Your signing status never changes: you can still sign (or decline) once your question is answered.

Senders see the thread on the envelope’s Comments tab, and each comment is recorded on the audit trail.

How to decline to sign

A signer can formally decline, with a reason the sender sees immediately.

  1. 1On the signing page, click Decline.
  2. 2Enter your reason and confirm.
  3. 3The sender is notified with your reason, and the decline is recorded on the envelope’s audit trail.

Just have a question? Use "Questions & comments" instead — it keeps the envelope alive. Got someone else’s document? Use "Reassign to someone else" to hand it to the right person.

How to require email or SMS identity verification

Gate the document behind a 6-digit one-time code so only the intended recipient can open it.

  1. 1On a draft envelope, open Envelope settings.
  2. 2Toggle "Require email verification" or "Require SMS verification" (SMS requires a phone number on each recipient).
  3. 3Send. Before the document opens, each signer sees a "Verify it's you" screen and must enter the 6-digit code delivered to their inbox or phone.
  4. 4The verification is recorded on the audit trail and reflected on the Audit Certificate.

For a secret you share off-channel instead, set an Access code on the individual recipient — the signer must type it before the document opens, independently of OTP.

How signing works in your signer’s language

The entire signer-facing experience renders in English, Spanish, French, German, or Portuguese.

  1. 1Each recipient carries a language setting; when it is not set, your workspace default applies, and English is the final fallback.
  2. 2Everything product-authored localizes from the first paint — the signing-page chrome, every signer email (invitation, reminder, completion, one-time code), and the electronic-records consent disclosure — with no English flash.
  3. 3Your own content is never machine-translated: the document title, your message, and your field labels appear exactly as you wrote them.
  4. 4The language used at signing is recorded with the consent and signature events on the audit trail.

How to capture an in-person signature

Hand your phone or tablet to a walk-in signer — no email address or signer account required.

  1. 1Add the recipient and set their Delivery to In person.
  2. 2Send the envelope, then use Copy link next to that recipient in the delivery panel.
  3. 3Open the link on your own device and hand it to the signer — they review, fill their fields, and sign on the spot.
  4. 4The signature is recorded like any other, and the confirmation screen offers their signed copy and audit certificate to download immediately.

How to verify a signed document on the public portal

Anyone holding a signed PDF — a counterparty, bank, or auditor — can confirm it is genuine and unaltered, no account needed.

  1. 1Find the verification code printed on the Audit Certificate that accompanies every completed envelope.
  2. 2Go to sign.hitthosting.com/verify and enter the code under "Verification code".
  3. 3Review the attestation: the document name, completion time, signer list, audit chain head (SHA-256), signed PDF SHA-256, and the RFC 3161 trusted timestamp.
  4. 4To prove your exact file is untouched, use "Prove your file is unaltered": click Choose a PDF and the browser hashes it locally and compares — the file never leaves your device.
  5. 5A match shows "Authentic — this exact file is unaltered"; a mismatch tells you the code is valid but the file differs.

How to read the audit trail and download the Audit Certificate

Every envelope carries a hash-chained event log, and every completed envelope gets a certificate PDF.

  1. 1Open any envelope and switch to the Audit trail tab — every event (sent, viewed, signed, reminders, corrections, consent) is listed with signer IP and user agent, each hash-chained to the previous event.
  2. 2Click "Verify audit trail" to recompute every event hash on the spot — you get "Audit chain intact" or the exact event where tampering was detected.
  3. 3On a completed envelope, click Audit Certificate to download the certificate PDF: the SHA-256 seal, the RFC 3161 trusted timestamp, and the complete event log — multi-page and never truncated.
  4. 4Click "Download all (ZIP)" for a single bundle: signed PDF, audit certificate, and any signer-uploaded files.

The RFC 3161 timestamp comes from a public timestamping authority and can be verified offline with openssl.

How to run an org-wide Audit Ledger check

The Audit Ledger rolls your entire signing history into one root hash and re-verifies it on demand.

  1. 1Open Reports in the sidebar and scroll to Audit Ledger.
  2. 2Review the Current root hash, when it was Last anchored, and the Event count it covers.
  3. 3Click "Re-verify now" — the ledger recomputes live against the daily anchor and flags any deleted or altered record anywhere in your history.

How to track contract dates and renewal reminders

Capture effective, renewal, and term-end dates on executed contracts and get a heads-up before the clock runs out.

  1. 1Open a completed envelope and find the Contract dates card. Set the Effective date, Renewal date, and Term-end date.
  2. 2Toggle "This contract auto-renews" if it does, and set the "Notice lead time (days)" — anywhere from 1 to 365.
  3. 3Hitt Sign emails the envelope owner exactly once, that many days before the date; the notice is recorded on the audit chain so it is provable.
  4. 4See everything coming due under Reports → "Upcoming contract dates" — filter by the next 30, 60, 90, 180, or 365 days, with overdue items flagged and CSV export alongside your envelope register.

Contract dates are managed by owners and admins; the read-only auditor role can view them without editing.

How to see why signers decline

When a signer declines they type a reason. Reports groups those reasons so you can tell a broken clause from a wrong recipient from a pricing objection — and re-send once you have fixed it.

  1. 1Go to Reports in the sidebar and scroll to "Why signers decline".
  2. 2The Reasons list groups every decline by what the signer actually typed, most common first, with a count and a share of the total. Spelling and spacing are ignored, so "Wrong signer" and "wrong signer " count as one reason.
  3. 3Declines where the signer left the reason blank are grouped under "(no reason given)" — they are counted, never dropped.
  4. 4Use the window selector to switch between All time and the last 30, 90 or 365 days.
  5. 5The "Recently declined" table below shows the 50 most recent, newest first: which envelope, which signer, their reason, and the date. Click the envelope title to open it.
  6. 6Click "Duplicate & re-send" on any row to clone that envelope — same document, same field placement — into a fresh draft with new signing links. Fix the clause or swap the recipient, then send.
  7. 7For the full record rather than the most recent 50, use the CSV export at the top of Reports with the per-recipient detail option — decline_reason is now a column there.

Who sees what follows the same rule as the rest of Reports: members and senders see declines only on envelopes they own, while owners, admins and the read-only auditor role see the whole workspace. Nothing new is recorded to build this — it reads decline reasons already stored on the envelope, and it never touches the audit chain. Note that duplicating creates a brand-new envelope with its own independent audit trail, and sending it consumes a credit just like any other send; the original declined envelope is left exactly as it is, as the record of what happened.

How to set data retention and run a GDPR purge

Decide how long completed envelopes keep personal data, and honor right-to-be-forgotten requests on demand.

  1. 1Go to Settings → "Privacy & data retention" (owner only).
  2. 2Set the number of days completed envelopes are kept before automatic PII removal — minimum 30, or leave blank to keep forever — and click Save.
  3. 3For a specific request, use "Right to be forgotten (GDPR purge)": paste the Envelope ID (UUID) and click "Purge PII".
  4. 4Signer personal data is anonymised while the audit hash chain itself is preserved, so integrity proofs keep working.

Envelopes under a legal hold are protected from both the retention sweep and the GDPR purge until the hold is released.

  3. 3They receive an email invitation; once accepted they appear under Workspace members.

The auditor role is read-only — perfect for compliance reviewers who need reports, contract dates, and audit trails without edit rights.

How to brand the signing experience

Signers see your logo and colors — on the signing page and in every signer-facing email.

  1. 1Go to Settings → Workspace branding.
  2. 2Upload your Logo (240×80 PNG with transparency recommended, kept under 50 KB).
  3. 3Pick an Accent color — it is used for buttons, links, and accents on the signer page and in email CTAs.
  4. 4Branding applies to all signer-facing emails (sent, reminder, completed). Reset back to defaults in one click whenever you want.

How to customize emails and sender notifications

Override the wording of signer emails, and choose exactly which envelope events email whoever sent the document.

  1. 1Go to Settings → "Custom email templates" and click Edit on any notification type to override its Subject and Body HTML with your own copy (template variables are listed above the editor). Reset restores the default.
  2. 2Under Settings → "Sender notifications", pick which events email the sender: viewed, each signature, completed, declined, sent back, and commented.
  3. 3These alerts go to the teammate who actually sent each envelope. Leave "Also copy the workspace owner on every notification" on for oversight, or turn it off so only the sender is notified.
  4. 4Save — new envelope activity uses your copy and your notification picks immediately.

In a multi-person workspace this means each teammate hears about their own envelopes instead of everything landing in the owner's inbox. A teammate who is removed from the workspace stops receiving envelope activity right away.

How to create API keys and send envelopes from your own app

Scoped integration keys let CRM, HR, and other systems spawn envelopes through the REST API.

  1. 1Go to Settings → "Integration API keys", pick the sibling product the key is for, and click New key.
  2. 2Copy the one-time secret immediately — "Save this key now — it won't be shown again". Only its hash is stored.
  3. 3From your system, call POST /api/integrations/envelopes with the key in the x-sign-api-key header, passing the title, recipients, base64 documents, and routing.
  4. 4Completion callbacks fire back to the originating app, and a completion_redirect_url returns signers to your product when they finish.
  5. 5Revoke any key from the same Settings section whenever you need to rotate.

How to embed signing inside your own app

Drop the signer flow into your product with the JS SDK — optionally fully white-labeled.

  1. 1Load the SDK: <script src="https://sign.hitthosting.com/sdk/sign-embed.js"> and add a container element.
  2. 2Mint the signer’s token server-side (never expose tokens to anyone but that signer) and call HittSign.embed({ container, token }).

How to set up outbound webhooks

Subscribe your endpoints to envelope events — Zapier-compatible, HMAC-signed.

  2. 2Pick the Events to receive — envelope.sent, envelope.completed, envelope.voided, envelope.declined, recipient.signed, recipient.reassigned — or leave empty to receive all.
  3. 3Save the signing secret shown once, and verify the X-HittSign-Signature header (HMAC-SHA-256) on every delivery.
  4. 4Use "Recent deliveries" to inspect each attempt’s status, HTTP code, and attempt count — and redeliver any failed event in one click.

How to start a subscription or buy envelope credits

Pick a flat plan with a free trial, or pay per envelope with credit packs — no subscription required.

  1. 1Open Billing in the sidebar to see your current Plan and Envelope credits balance.
  2. 2Under "Subscription plans", choose Pro or Business and toggle Monthly or Annual (annual gives you 2 months free). Every plan starts with a 14-day free trial — no charge today, cancel any time.
  3. 3Prefer pay-as-you-go? Under "Or pay per envelope", click Buy on a credit pack.
  4. 4Manage your plan, payment method, and cancellation through the self-serve Stripe billing portal; invoices are listed with PDF downloads.

Credits are consumed when an envelope is sent, not when it completes — declined or expired envelopes still use their credit.

How to apply a coupon at checkout

Promo codes apply to subscriptions during checkout — typed in or pre-filled from a link.

  1. 1Start checkout for a plan from the Billing or Pricing page.
  2. 2On the review step, find "Have a coupon?" and enter your code — or arrive with it pre-filled from a ?coupon=CODE link.
  3. 3The discount is applied to the subscription before your card is charged; the updated price shows on the review step.
